Terms and Conditions

These terms apply across the TallyTrot website, scoring office, mobile app, and connected services.

1. Agreement and operator

TallyTrot is owned and operated by Global Entries Online Pty Ltd (ABN 60 131 761 978). In these terms, “TallyTrot”, “we”, “us” and “our” refer to Global Entries Online Pty Ltd.

These Terms and Conditions apply when you access or use the TallyTrot website, web application, mobile application, public results, support services, or integrations. By creating an account, accepting an invitation, or continuing to use TallyTrot, you agree to these terms. If you use TallyTrot for an organisation or event, you confirm that you have authority to agree on its behalf.

Our Privacy Policy explains how we handle personal information and forms part of these terms.

2. The TallyTrot service

TallyTrot supports dressage event setup, entry and draw information, judge assignments, offline-capable scoring, score verification, official score sheets, result publication, public live results, and connections with authorised external systems. Features available to you depend on your role, permissions, event settings, device, and connected systems.

Event organisers control their events, user roles, publication settings, and whether information or results are exchanged with a connected system. TallyTrot provides the technology used to carry out those instructions.

3. Accounts and authority

  • You must provide accurate, current information and keep it up to date.
  • You are responsible for protecting your password, devices, invitation links, access codes, and sessions, and for promptly reporting suspected unauthorised use.
  • You must use only the account, event, role, and scoring position assigned or authorised for you.
  • TallyTrot does not routinely collect dates of birth and may not know an account holder’s age. If we reasonably believe an account holder may not understand the service or their privacy choices, we may request confirmation from a parent, guardian, or authorised event organiser and restrict access until that confirmation is provided.
  • You must not share an account or impersonate another person.

4. Your responsibilities

You are responsible for the accuracy, legality, and appropriateness of information you submit or import, the instructions you give TallyTrot, and actions taken through your account. Event organisers are also responsible for:

  • having authority to provide participant, judge, horse, staff, and event information, whether entered directly, uploaded, imported, or transferred through a connected system;
  • assigning appropriate permissions and promptly removing access that is no longer needed;
  • checking event, test, draw, panel, score, and publication settings before relying on them;
  • telling affected people that TallyTrot will receive and process their information and that event details or results may be publicly displayed where publication is enabled;
  • providing all other required privacy notices and obtaining required consents, including consent from a parent or guardian where a young participant cannot make their own privacy decision; and
  • keeping any source or official event-management system accurate and resolving discrepancies.

5. Event data and user content

You and the relevant event parties retain any rights you hold in information, scores, comments, annotations, files, and other content supplied to TallyTrot. You grant us a non-exclusive, worldwide licence to host, copy, process, transmit, format, display, back up, and otherwise use that content only as reasonably required to operate, secure, support, and improve TallyTrot, follow authorised event instructions, and comply with law.

You must not provide content unless you have the right and authority to do so. By submitting, uploading, importing, or transferring event or participant information, you confirm that you are authorised to provide it and that all required privacy notices and consents have been provided or obtained. We may remove, restrict, preserve, or disclose content where reasonably necessary to address illegality, security risks, rights claims, disputes, or legal requirements.

6. Scores, verification, and results

TallyTrot performs calculations and workflow checks using the information entered by authorised users. Judges and event officials remain responsible for reviewing marks, comments, deductions, test selection, completeness, and the final official result. A provisional, running, unverified, failed-delivery, or draft result must not be treated as final merely because it appears in TallyTrot.

An organiser controls whether public live results are enabled and when verified results are published or delivered. Corrections may change previously displayed or delivered information. Where TallyTrot and an official event or connected system differ, the organiser must investigate and determine the authoritative record under the applicable competition rules.

7. Connected systems

TallyTrot may receive and exchange event, draw, participant, scoring, and results information with systems connected by an authorised organiser. GEO is a current connected system, and additional event, entry, scoring, or results systems may be supported in the future. The organiser or connected-system provider sending information to TallyTrot must have authority to do so and must provide required privacy notices and obtain required consents before the transfer.

Connected systems are operated under their own terms, policies, availability, and data practices. We are not responsible for their independent acts or omissions, but this does not limit any responsibility that the law does not permit us to exclude. Delays, errors, conflicts, or outages in a connected system may affect imports or result delivery.

8. Acceptable use

You must not use TallyTrot to:

  • break a law, competition rule, court order, or another person’s rights;
  • access, change, publish, or disclose information without authority;
  • submit malicious code, interfere with security, probe for vulnerabilities, overload the service, or bypass access controls;
  • scrape, copy, reverse engineer, or commercially exploit the service except where the law expressly permits it;
  • send spam, deceptive communications, or harmful, abusive, or unlawful content; or
  • misrepresent a provisional or altered record as an official result.

9. Availability and changes

We aim to provide a dependable service, including offline scoring where supported, but availability can be affected by maintenance, connectivity, devices, connected systems, security events, and circumstances outside our reasonable control. You remain responsible for reasonable event-day contingency and record-checking procedures.

We may modify, add, suspend, or retire features where reasonably necessary. We will take reasonable steps to give notice where a material change is likely to significantly affect current use.

10. Consumer rights and liability

Nothing in these terms excludes, restricts, or modifies a consumer guarantee, right, remedy, or liability that cannot lawfully be excluded, including under the Australian Consumer Law.

To the extent permitted by law, we are not liable for indirect or consequential loss, loss caused by inaccurate or unauthorised information supplied by a user or connected system, or loss that could not reasonably have been foreseen. Any limitation applies only to the extent it is fair, reasonable, and lawful in the circumstances.

Where the law permits us to limit a remedy for failure to comply with a guarantee relating to services, our liability is limited, at our option, to supplying the services again or paying the cost of having them supplied again. This limitation does not apply where it would be unlawful or where the services are ordinarily acquired for personal, domestic, or household use or consumption.

11. Suspension and ending use

You may stop using TallyTrot at any time and may ask us to close your account, subject to retention of information needed for official competition records, security, disputes, legal obligations, and the Privacy Policy.

We may restrict, suspend, or end access where reasonably necessary to protect TallyTrot or its users, comply with law or an organiser’s authorised instruction, respond to non-payment where applicable, investigate misuse, or address a material breach of these terms. Where appropriate, we will give notice and a reasonable opportunity to remedy the issue.

12. General terms

Changes to these terms. We may update these terms when the service, law, or our practices change. We will publish the revised terms here, update the date, and take reasonable steps to notify users of material changes. Continued use after the change takes effect means you accept the revised terms.

Severability. If part of these terms is invalid or unenforceable, the remaining terms continue to apply.

No waiver. A delay in enforcing a right does not waive that right.

Governing law. These terms are governed by the laws of New South Wales, Australia. The parties submit to the courts of New South Wales and courts entitled to hear appeals from them.
